Property Setup and Inspection Coordinator (Remote)

About the role

We are looking for a Property Setup and Inspection Coordinator to join Fibi Vacation Rentals remotely. The role supports the end‑to‑end setup of short‑term rental properties, ensuring inspections, material orders and launch timelines are executed flawlessly.

Key responsibilities

• Facilitate live video inspections of new properties, capture measurements, photos and condition details, and record findings in the structured inspection workbook.
• Transform inspection data into itemised, room‑by‑room material plans, organized into a three‑tier budget (Essentials, Optimization, Design) and aligned with peak‑profit analysis.
• Place and track procurement orders across approved vendors (e.g., Amazon, Wayfair) and ensure delivery to the door.
• Maintain the existing portfolio by scheduling regular inspections and keeping inventory stocked.
• Log all inspection recordings, update project tasks and dates in ClickUp, and communicate status to the Operations Manager and Director of Operations.

Required profile

• Exceptionally organized with strong attention to detail.
• Proficient in spreadsheet management and comfortable using AI‑driven tools daily.
• Ability to work independently in a fully remote environment and coordinate with multiple stakeholders.

Required skills

• Advanced Excel (or equivalent spreadsheet software).
• ClickUp for task and project management.
