Talent Acquisition Coordinator (Scheduler)

About the role

The Talent Acquisition Coordinator (Scheduler) will manage high‑volume interview logistics for a global pharmaceutical and life‑science consulting firm. Working fully remotely, you will ensure a smooth scheduling experience for candidates, hiring managers, and interviewers across multiple time zones.

Key responsibilities

• Coordinate high‑volume interview scheduling, rescheduling, and cancellations across multiple global time zones.
• Use Greenhouse ATS, Microsoft Outlook and other tools to set up interview slots and send confirmations.
• Monitor attendance, follow up with candidates and interviewers, and resolve any scheduling conflicts.
• Maintain up‑to‑date candidate records, resumes and applications in Greenhouse.
• Communicate interview details and changes professionally to all stakeholders.
• Provide ad‑hoc administrative support to the Talent Acquisition team and contribute to process improvements.

Required profile

• At least 2 years of experience in recruiting coordination, interview or executive scheduling, or a similar administrative role.
• Proven ability to manage high‑volume scheduling across multiple time zones.
• Familiarity with Applicant Tracking Systems, preferably Greenhouse.
• Strong organizational skills with meticulous attention to detail and confidentiality.
