About the role
The Office of the President at Aga Khan University seeks a proactive Executive Assistant to support the Senior Advisor and other senior executives. The role involves managing complex schedules, preparing briefing materials, and ensuring seamless coordination of meetings and travel.
Key responsibilities
- Manage day‑to‑day calendars, appointments, and internal/external meetings for the Senior Advisor.
- Prepare agendas, briefing documents, and supporting materials for meetings and engagements.
- Prioritize commitments and facilitate timely communication with stakeholders.
- Draft and edit communications on behalf of the Senior Advisor, maintaining professionalism and confidentiality.
- Screen calls, emails, and correspondence, directing urgent matters appropriately.
- Maintain electronic filing systems for letters, emails, legal documents, and official records.
- Coordinate domestic and international travel, accommodation, and expense reporting.
- Provide liaison support between the Senior Advisor and university departments.
- Arrange office supplies, equipment, and other administrative needs.
Required profile
- Proven experience in executive and administrative support.
- Strong organizational and time‑management abilities.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with the highest level of discretion.
