Virtual Medical Scheduler

About the role

Health & Virtuals is seeking a Remote Virtual Medical Scheduler to serve as the first point of contact for patients across multiple clinics. You will handle inbound communications, manage appointment workflows, and ensure accurate documentation within the electronic health record (EHR) system.

Key responsibilities

• Answer inbound calls professionally, return missed calls, and follow up on voicemails within defined timelines.
• Schedule, reschedule, and cancel appointments based on provider availability across multi‑provider, multi‑location calendars.
• Coordinate waitlists, recalls, and urgent scheduling needs while confirming patient demographics and basic insurance details.
• Send appointment confirmations, reminders, and preparation instructions.
• Maintain clear, HIPAA‑compliant notes and communication logs in the EHR.
• Coordinate handoffs with billing, clinical, and administrative teams.

Required profile

• Strong phone presence with clear, professional communication.
• Organized, detail‑oriented, and able to handle high call volume while maintaining accuracy.
• Calm under pressure, adaptable to real‑time changes, and collaborative with internal teams.
• Comfortable using digital tools, structured workflows, and task trackers.

Required skills

• Experience with EHR or scheduling platforms.
• Proficiency in Google Workspace and Microsoft Office.
• Familiarity with communication tools such as Slack, Zoom, and Microsoft Teams.
