Virtual Pediatric Administrative & Front Office Assistant

About the role

We are seeking a highly organized Virtual Medical Assistant to support a new pediatric practice during its pre‑opening phase and early growth. The role is remote and part‑time initially, with the potential to expand to full‑time as patient volume increases.

Key responsibilities

• Manage the physician’s calendar, consolidate meeting materials, and track deadlines and project tasks.
• Attend administrative and vendor meetings, take clear notes, document action items, and follow up on outstanding items.
• Handle incoming patient communications (calls, emails, texts) once the clinic opens, providing a professional first point of contact.
• Coordinate patient scheduling, intake, and registration, ensuring accurate demographic and insurance information.
• Verify commercial insurance coverage, document eligibility, and assist with prior authorizations as needed.
• Maintain patient records and appointment data in eClinicalWorks (eCW) following clinic workflows.

Required profile

• Proactive and adaptable, able to work independently without constant reminders.
• Comfortable in a fast‑changing startup environment where priorities shift.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication with families and vendors.

Required skills

• eClinicalWorks (eCW) – experience entering and managing patient data.
