About the role

The Assistant Manager, Administration will ensure smooth operation of the workplace by overseeing facilities, safety, procurement and general administrative functions. This role supports business continuity, regulatory compliance and cost‑effective service delivery across the organization.

Key responsibilities

  • Oversee day‑to‑day facilities operations, including building maintenance, repairs and preventive maintenance planning.
  • Handle workplace complaints, ensure timely resolution and maintain operational readiness for remote or alternate working arrangements.
  • Ensure full compliance with HSE, fire safety, life‑safety regulations and oversee physical security systems such as CCTV and access control.
  • Coordinate procurement of goods and equipment, standardise vendor lists and enforce approval hierarchies.
  • Manage office relocations, space planning, seating optimisation and support corporate events.
  • Supervise courier, mailroom and internal logistics, including UPS dispatch and servicing.
  • Administer insurance policies, conduct asset verification and control disposal of obsolete assets.
  • Liaise with government authorities to renew permits, licences and ensure building‑code compliance.
  • Prepare annual administrative budgets, monitor expenditures and identify cost‑optimisation opportunities.
  • Lead response to urgent breakdowns, incidents and operational disruptions, ensuring escalation and resolution.

Required profile

  • Proven experience in facilities, safety or administration management.
  • Strong understanding of regulatory requirements (HSE, fire safety, DHA).
  • Excellent vendor and stakeholder management skills.
  • Ability to prepare and control budgets and financial reports.
  • Effective problem‑solving and crisis‑management capabilities.
