Executive Assistant

About the role

Jahangir Traders & Co is seeking a proactive Executive Assistant to support senior management in a fast‑paced cargo shipping and import‑export environment. The role is on‑site in Rawalpindi and involves coordinating daily executive activities, handling communications, and ensuring smooth office operations.

Key responsibilities

• Manage complex calendars, schedule meetings, and arrange travel for senior executives.
• Prepare, review, and format correspondence, reports, presentations, and shipping documentation.
• Liaise with freight forwarders, customs agents, clients, and internal teams to follow up on shipments and resolve routine issues.
• Screen emails, draft responses, and act as a point of contact for internal and external stakeholders.
• Organise and maintain physical and electronic filing systems for bills of lading, invoices, contracts, and other critical records.
• Coordinate logistics for meetings, site visits, and special events.

Required profile

• Minimum 3 years of executive assistant or senior administrative experience in trading, logistics, import/export, or related sectors.
• Excellent written and verbal communication skills in English and Urdu.
• Familiarity with import/export documentation (bill of lading, commercial invoice, packing list) and basic customs procedures.
• Strong organisational, time‑management, and discretion when handling confidential information.
• Basic accounting knowledge for expense reports, vendor invoices, and simple reconciliations.

Required skills

• Proficiency with MS Office (Word, Excel, PowerPoint).
• Experience using email, PDF tools, and cloud‑based file systems.
