Remote Virtual Medical Assistant – Ophthalmology Front Desk & Prior Authorization

About the role

This remote position supports a busy ophthalmology practice by handling front‑desk duties, insurance verification, and prior‑authorization tasks. The role is highly phone‑focused and requires managing a large volume of inbound and outbound calls while coordinating patient scheduling and administrative needs.

Key responsibilities

• Answer and route a high volume of patient calls, take accurate messages, and ensure timely follow‑up.
• Schedule, reschedule, and confirm ophthalmology appointments, providing patients with pre‑visit instructions and documentation requirements.
• Verify patient insurance eligibility, benefits, copays, and deductibles; contact insurers and payer portals for clarification.
• Initiate, submit, and track prior‑authorization requests for medications, procedures, and diagnostic tests.
• Maintain accurate patient demographics, insurance data, scheduling notes, and authorization records within the EMR.
• Prioritize urgent tasks, respond to patient and provider requests, and collaborate closely with physicians and clinic staff.

Required profile

• At least 1 year of experience in a virtual medical assistant or similar administrative healthcare role.
• Comfortable handling high‑volume phone interactions with patients and insurance representatives.
• Highly organized, able to manage competing priorities independently in a fast‑paced environment.
• Strong communication skills and confidence speaking with both clinical and insurance personnel.

Required skills

• Proficiency with EMR systems for patient record management.
• Experience using payer portals for insurance verification and prior‑authorization submissions.
• Knowledge of insurance eligibility checks, copay and deductible verification.
• Ability to schedule appointments and coordinate follow‑up care using clinic scheduling software.
