Virtual HR & Payroll Assistant

About the role

Health & Virtuals is seeking a Virtual HR & Payroll Assistant to support our internal HR and finance teams. This remote, backend administrative position focuses on accurate employee record management, payroll preparation, and compliance tracking across the United States.

Key responsibilities

• Maintain and update employee records, including job details, compensation, and status changes.
• Organize compliance documents such as I‑9s, W‑4s, NDAs, and policy acknowledgments.
• Support onboarding and offboarding workflows by managing documentation and checklist completion.
• Compile timesheets, PTO usage, and payroll inputs; reconcile discrepancies and flag issues.
• Ensure payroll data is submitted accurately and on time.
• Track and update employee leave records, notify relevant teams of upcoming leave, and ensure documentation aligns with company policies.

Required profile

• Highly detail‑oriented with a focus on data integrity.
• Organized and able to manage recurring workflows and deadlines.
• Reliable with strong follow‑through on assigned responsibilities.
• Clear communicator with internal teams regarding updates or discrepancies.
• Proactive in identifying gaps, inconsistencies, or missing information.

Required skills

• Experience with HR systems (HRIS) and payroll tools.
• Strong record‑keeping and documentation management abilities.
• Proficiency in Google Workspace and Microsoft Office.
• Familiarity with communication platforms such as Slack, Zoom, and Microsoft Teams.
• Comfortable working with spreadsheets and digital documentation systems.
