Virtual Medical Assistant – Communications Specialist

About the role

We are seeking a polished, reliable Virtual Medical Assistant to serve as the voice of our growing chiropractic clinic. Working remotely, you will be the first point of contact for current and prospective patients, handling calls, texts, emails, and scheduling to ensure a warm, professional experience.

Key responsibilities

• Answer high‑volume inbound patient calls promptly and courteously.
• Respond to patient texts, voicemails, emails, and fax messages in a timely manner.
• Schedule new patient appointments, collect intake information, and manage existing appointments using MacPractice.
• Prioritize new patient inquiries and referral opportunities.
• Conduct follow‑up outreach to reactivate inactive patients and convert inquiries into booked appointments.
• Maintain accurate patient records, scheduling notes, and communication documentation.
• De‑escalate concerns related to scheduling, billing, or insurance while adhering to HIPAA privacy standards.

Required profile

• Excellent spoken English with a clear, neutral accent.
• Strong written communication skills for SMS, email, and patient‑facing messages.
• Prior experience as a Virtual Medical Assistant, medical receptionist, or similar healthcare support role.
• Comfortable handling high call volume in a fast‑paced clinic environment.
• High emotional intelligence, reliability, punctuality, and proactive attendance communication.
• Own a Mac OS device (MacBook, iMac, or Mac mini) and reliable high‑speed wired internet.

What we offer

• 30‑35 hours per week with flexible shift assignments, including Saturdays.
