Commercial Assistant

About the role

The Commercial Assistant supports the sales team by ensuring that all sales opportunities are accurately recorded and followed up. This administrative and coordination role maintains the sales pipeline, customer database, quotations and related commercial documentation, providing timely reports for management decisions.

Key responsibilities

• Maintain and update the daily sales pipeline, recording visits, calls, quotations, samples and follow‑up activities.
• Keep a centralized customer database, updating contact information and categorising clients by industry, territory and potential.
• Prepare quotations, track sample dispatches, coordinate with production and dispatch, and manage customer files and agreements.
• Generate daily, weekly and monthly sales reports covering visits, new leads, quotations, samples, trial orders, new customers, lost opportunities and outstanding follow‑ups.
• Arrange meetings between customers and the sales team, ensure all commercial documents are ready, and follow up with internal departments on customer requirements.
• Verify that salespersons submit complete daily visit reports and maintain proper filing standards for all commercial activities.

• Excellent written and verbal communication skills.
• Proactive and able to coordinate across multiple internal teams.
• Ability to manage multiple tasks and meet reporting deadlines.
