E-Commerce Coordinator & Executive Assistant

About the role

The role supports the CEO with executive administrative tasks while overseeing the company’s e‑commerce operations on platforms such as Shopify and WooCommerce. It combines high‑level calendar and travel management with hands‑on product listing, inventory and order‑fulfilment responsibilities.

Key responsibilities

• Manage the CEO’s calendar, schedule appointments and coordinate follow‑ups.
• Draft and screen professional business correspondence, memos and internal briefs.
• Organise domestic and international travel logistics, including flights, accommodation and visa arrangements.
• Create, update and maintain product listings, descriptions, pricing and images on Shopify and WooCommerce.
• Monitor and optimise the online storefront UI/UX, including banners, collection pages and checkout flows.
• Track inventory across multiple warehouses, trigger replenishment alerts and coordinate order fulfillment.
• Handle customer order escalations promptly to ensure high satisfaction.
• Maintain accurate records and perform data entry for order processing and vendor coordination.

Required profile

• Minimum of one year of relevant experience in executive assistance or e‑commerce coordination.
• Highly organised with strong attention to detail and ability to manage confidential information.
• Proactive communicator able to liaise across internal teams and external vendors.
