Operations and Order Fulfillment Specialist

About the role

Carpe Diem is hiring an Operations and Order Fulfillment Specialist for a US ecommerce company. About 90% of the work is done in Zoho (Zoho Books, Zoho Inventory and Zoho CRM). You will manage orders, keep inventory tight with just-in-time practices, coordinate shipments from a manufacturing partner in Costa Rica to the US warehouse and handle customer queries. The position is full-time and remote, with a fixed night shift aligned to US hours.

Key responsibilities

• Manage invoices, sales orders, purchase orders and payments in Zoho Books
• Maintain accurate stock levels and SKUs in Zoho Inventory
• Collect names and contact details of at least 50-60 relevant attendees per event, with their permission
• Run just-in-time inventory, balancing supply and demand so stock stays lean without stockouts
• Coordinate with the manufacturing team in Costa Rica on production, purchase orders and shipments to the US warehouse
• Update customer records, contacts and billing details in Zoho CRM
• Process ecommerce orders from Shopify and ship them through ShipStation
• Track deliveries and resolve delays, lost packages and address issues
• Handle returns, refunds, replacements and customer order queries
• Prepare regular order, inventory and shipment reports

Required profile

• 2+ years in ecommerce operations, inventory or order fulfillment
• Fluent English, spoken and written, with a professional appearance and polished English
• Strong attention to detail
• Comfortable working a fixed night shift aligned with US hours
• Stable high-speed internet with a backup connection, a laptop and backup power (UPS or generator)

Required skills

• Hands-on experience with Zoho Books, Zoho Inventory and Zoho CRM
• Just-in-time inventory management
• ShipStation and Shopify
• Experience coordinating with suppliers or manufacturers and managing purchase orders
• Nice to have: international shipping, imports or customs; working with US companies; Google Sheets or Excel for reporting
