About the role

Join Medcare MSO’s Patient Communication Center as a Patient Scheduling Representative. You will be the primary point of contact for coordinating patient appointments, optimizing practitioner schedules, and ensuring smooth referral and insurance processes.

Key responsibilities

• Enroll new patients, capture demographics, and schedule appointments aligned with practitioner preferences.
• Manage cancellations, reschedules, waitlists, and optimize practitioner utilization.
• Respond to scheduling inquiries across phone, portal, text, and voicemail.
• Triage non‑clinical and clinical‑related calls and escalate appropriately.
• Process and track inbound referrals from receipt to appointment completion.
• Verify insurance eligibility and obtain prior authorizations before patient visits.
• Follow up on pending authorizations, denials, and appeals.
• Maintain accurate EMR documentation for appointments, referrals, and communications.
• Track scheduling KPIs including utilization, no‑shows, and call performance.
• Identify workflow gaps and support continuous improvement in scheduling efficiency and patient satisfaction.

Required profile

• Doctor of Pharmacy (Pharm D) or related healthcare qualification preferred; Healthcare Administration also considered.
• 1–3 years of experience in patient scheduling, referral coordination, medical office, or prior authorization roles.
• Hands‑on experience with EMR systems and scheduling platforms.
• Experience in multi‑specialty or functional medicine clinic environment preferred.
• Strong understanding of scheduling workflows, insurance verification, referrals, and self‑pay processes.
