Virtual Pediatric Admin & Front Office Assistant

About the role

We are seeking a highly organized Virtual Medical Assistant to support a newly launching pediatric practice. The role starts remotely, part‑time (30 hours/week) with the potential to grow to full‑time as the clinic opens and patient volume increases.

Key responsibilities

• Manage the physician’s calendar, coordinate meetings, track deadlines and follow‑up on action items.
• Handle incoming patient communications (calls, emails, texts) and serve as the first point of contact once appointments begin.
• Schedule new and follow‑up appointments, collect intake information, and maintain accurate records in eClinicalWorks.
• Verify commercial insurance coverage, document eligibility, and assist with prior authorizations as needed.
• Support vendor relationships, research tasks, and various administrative projects during the startup phase.

Required profile

• Proactive, adaptable and comfortable working in a fast‑changing startup environment.
• Strong organizational skills with the ability to work independently without constant supervision.
• Excellent written and verbal communication skills, especially when interacting with families.
• Attention to detail for data entry, insurance verification and scheduling tasks.

Required skills

• Experience with eClinicalWorks (eCW) or similar electronic health record systems.
