About the role
The Agency Support Administrator ensures smooth operation of the agency support function by handling high‑volume administrative tasks, managing inbox workflows, and coordinating with internal teams. This role enables the client‑facing team to deliver a high‑quality experience to recruitment agency partners.
Key responsibilities
- Manage and triage the shared agency support inbox, categorising and routing queries effectively.
- Prepare and issue Key Information Documents (KIDs), illustrations, and onboarding documentation.
- Coordinate with internal departments (sales support, welcome team, compliance) to gather required information.
- Chase internal stakeholders to ensure timely delivery of reports, documentation, and updates.
- Pull, format, and distribute standard reports to agencies.
- Maintain accurate records and update CRM systems such as HubSpot.
- Respond to standard queries using approved templates, ensuring consistent communication.
- Identify process inefficiencies and suggest improvements.
Required profile
- Experience in a high‑volume administrative or back‑office role, preferably within BPO, recruitment, payroll, or professional services.
- Strong written communication with high accuracy and attention to detail.
- Ability to manage multiple tasks and prioritize effectively in a fast‑paced environment.
- Process‑driven mindset focused on efficiency and consistency.
- Confidence working with systems, data, and reporting tools.
- Proactive approach to chasing tasks and resolving issues.
