Distribution Coordinator

About the role

The Distribution Coordinator will oversee the flow of goods across on‑campus stores, maintenance stores and secondary hospital warehouses, ensuring timely delivery and replenishment of inventory. This position is integral to meeting key performance indicators for stock availability and quality within the university’s health and logistics network.

Key responsibilities

• Plan and coordinate distribution activities with users, on‑campus stores, maintenance stores and secondary hospital warehouses.
• Monitor pending inspections, discrepancy items and ensure accurate GRIN processing for import and local receipts.
• Manage vendor interactions at receiving counters and enforce warehousing best practices, including temperature‑controlled items.
• Schedule and supervise the warehouse team to meet fulfilment centre demands while minimizing overtime.
• Maintain safe, accurate and timely stock management, including space allocation, stock transfers, and handling of non‑conforming or expired products.
• Oversee receiving, storage, preservation, issuance, expiry monitoring and disposal of warehouse items in line with policies.
• Ensure proper record‑keeping for receiving, issuance, inspection, picking, expiry reports, discrepancies and disposals.
• Organise periodic cycle counts and quarterly stock variance reporting, reconciling adjustments as needed.
• Provide overall supervision, training, development and safety standards for warehouse personnel.

Required profile

• Experience in coordinating distribution, inventory replenishment and warehouse operations.
• Knowledge of stock management processes, including handling of temperature‑sensitive and expired items.
• Ability to supervise and train warehouse staff while ensuring compliance with safety and quality standards.
