Event Coordinator

About the role

The Catalyst Group is hiring an Events Coordinator for one of Pakistan's largest and most premium event management companies, known for high-end events and exceptional client experiences. The coordinator oversees on-ground operations on event days, from arriving early at the venue and supervising setup to coordinating deliveries, managing supplies and aligning internal teams so that everything runs smoothly.

Key responsibilities

• Arrive at event venues ahead of schedule to oversee preparations and ensure readiness.
• Coordinate on-ground setup of décor, staging, furniture, lighting and signage according to approved plans.
• Track the timely delivery of supplies, equipment and décor so all items reach the venue as required.
• Coordinate with internal teams such as production, design, logistics, client servicing and procurement.
• Conduct venue checks before the event to spot missing supplies or incomplete setups and resolve them promptly.
• Troubleshoot unexpected on-ground challenges and coordinate with the relevant teams to minimise disruptions.
• Maintain event checklists and document operational issues and learnings for future events.

Required profile

• Relevant experience in event coordination, event operations, hospitality, logistics or a similar role; hands-on event execution experience preferred.
• Ability to work on-site, travel to event venues and work flexible hours, including evenings and weekends, depending on event schedules.

Required skills

• Strong organisational and coordination skills, able to manage multiple tasks and deadlines at once.
• Ability to work under pressure and resolve unexpected challenges in a fast-paced, on-ground environment.
• Strong communication and interpersonal skills with internal teams, vendors, suppliers and venue staff.
• Proactive, hands-on approach to identifying and addressing potential issues early.
