Medical Virtual Assistant – Outbound Calls & Prior Authorization

About the role

A busy family medicine clinic is seeking a remote Medical Virtual Assistant to support medication refill management, prior authorizations, claims processing, and patient communication. The role is ideal for a detail‑oriented professional who can thrive in a fast‑paced primary‑care environment while maintaining HIPAA‑compliant documentation.

Key responsibilities

• Process, validate, and route prescription refill requests; communicate outcomes to patients and pharmacies.
• Submit and track prior authorizations and appeals for chronic‑care and weight‑management medications using CoverMyMeds.
• Assist with basic claims processing, review claim status via payer portals, and follow up on denied or pending claims.
• Conduct outbound calls for appointment reminders, relay provider instructions, and respond to patient inquiries.
• Upload, organize, and distribute clinical documents (lab results, imaging, discharge summaries) to the appropriate team members.
• Maintain accurate inbox/outbox documentation, close completed tasks, and route issues to billing or clinical staff as needed.

• Strong attention to detail and excellent organizational skills.
• Proactive communication style with patients, pharmacies, providers, and insurance representatives.
• Ability to work independently in a remote setting while meeting tight deadlines.
• Understanding of HIPAA regulations and commitment to confidential handling of health information.
