Procurement Specialist

About the role

The Procurement Specialist will oversee end‑to‑end procurement activities with a strong emphasis on service procurement. The role involves sourcing vendors, negotiating contracts, managing costs, and maintaining a reliable supplier network across multiple operational service categories.

Key responsibilities

• Manage the full procurement lifecycle from vendor sourcing to contract execution and performance evaluation.
• Source qualified vendors for operational goods and services and obtain competitive quotations through RFQ processes.
• Conduct market research to identify optimal pricing, quality, and service options.
• Negotiate pricing, commercial terms, payment conditions, and service level agreements.
• Prepare purchase requests, purchase orders, procurement documentation, and reports.
• Monitor supplier performance, ensure timely delivery, and maintain procurement records for compliance.
• Oversee service procurement for categories such as healthcare, pantry supplies, transportation, accommodation, IT equipment, facility management, security, travel, training providers, and other operational services.
• Identify, evaluate, and onboard qualified suppliers, maintaining at least four vendors per service category.
• Conduct vendor due diligence, verify licenses and financial capability, and maintain an updated vendor database.
• Prepare, negotiate, and manage procurement contracts, including clauses on probation periods, pricing structures, payment terms, SLAs, confidentiality, and renewal.
• Ensure adherence to standardized procurement processes, including RFQ, comparative evaluation, vendor due diligence, approval workflows, and performance evaluation.
