Onboarding Specialist

About the role

We are looking for an Onboarding Specialist to join TechLoom Global and support a U.S.-based behavioral health organization. In this fully remote, non‑clinical position you will be the primary point of contact for newly hired healthcare providers, ensuring they are ready to see patients from day one.

Key responsibilities

• Contact new providers to schedule onboarding calls and coordinate pre‑call logistics.
• Complete pre‑onboarding admin tasks such as setting up email accounts, phone lines, EHR access, and payroll enrollment.
• Maintain an Airtable‑based onboarding tracker and monitor deadlines in real time.
• Lead 3‑hour live onboarding sessions covering company systems, EHR platforms, provider guidelines, and clinical workflows.
• Create provider directory profiles on platforms like Psychology Today, handling lead times and verification.
• Introduce providers to supervisors, distribute supervision contracts, and manage related paperwork.
• Serve as the ongoing contact for provider questions about tools, tech issues, and operational workflows after onboarding.

Required profile

• 3–6 years of experience in onboarding, provider relations, healthcare operations, or a similar coordination role.
• Excellent verbal communication with the ability to lead structured, multi‑hour calls.
• Strong written English skills for professional email and documentation.
• Highly organized, deadline‑driven, and able to manage multiple timelines simultaneously.
• Self‑motivated and comfortable working independently in an async‑friendly remote environment.
• Working hours aligned with Central Time.
