Patient Scheduling Representative

About the role

The Patient Scheduling Representative works within Medcare's Patient Communication Center to coordinate all aspects of patient appointments. You will interact with patients, practitioners, and referral sources to ensure smooth scheduling and optimal practitioner utilization.

Key responsibilities

• Enroll new patients, capture demographics, and schedule appointments according to practitioner preferences.
• Manage cancellations, reschedules, waitlists, and optimize practitioner utilization.
• Respond to scheduling inquiries via phone, portal, text, and voicemail.
• Tri­age non‑clinical and clinical calls and escalate as needed.
• Process inbound referrals from receipt to appointment completion.
• Verify insurance eligibility and obtain prior authorizations before visits.
• Follow up on pending authorizations, denials, and appeals.
• Maintain accurate EMR documentation for appointments, referrals, and communications.
• Track scheduling KPIs such as utilization, no‑shows, and call performance.
• Identify workflow gaps and support continuous improvement in scheduling efficiency and patient satisfaction.

Required profile

• Doctor of Pharmacy (Pharm D) or related healthcare qualification preferred; Healthcare Administration also considered.
• 1–3 years of experience in patient scheduling, referral coordination, medical office, or prior authorization.
• Hands‑on experience with EMR systems and scheduling platforms.
• Experience in a multi‑specialty or functional‑medicine clinic environment is a plus.
• Strong understanding of scheduling workflows, insurance verification, referrals, and self‑pay processes.
• Knowledge of HIPAA compliance and patient confidentiality standards.
