Senior Tender Officer - Bid Management & Compliance

About the role

Ashraf Group of Companies is looking for a Senior Tender Officer in Lahore to lead the preparation and management of tenders. The role coordinates with Sales, Finance, Purchase and Technical teams to produce compliant tender documents and ensure timely submissions. It also involves working with banks on bid securities and other financial guarantees, and managing a team of two staff members.

Key responsibilities

• Search and identify government and private tenders using e-procurement platforms and databases.
• Review tender documents for eligibility, specifications and submission requirements.
• Prepare tender documentation, including forms, quotations, licenses and supporting evidence.
• Collaborate with Sales, Finance, Purchase, Technical and Management teams to gather accurate tender information.
• Coordinate with banks to arrange bid securities or earnest money guarantees as required.
• Ensure submissions are delivered before the closing date and time.
• Maintain a tender tracking sheet or database covering submitted, awarded, rejected and pending tenders, and follow up on outcomes, purchase orders and work orders.
• Draft tender-related letters, undertakings and affidavits, and manage client communications on clarifications and amendments.
• Assist management with tender costing, pricing strategies and commercial proposals.
• Lead and supervise a team of two people, ensuring procedures and deadlines are met.

Required profile

• Minimum of 10 years of experience in tender preparation and submission, bid management and contract oversight.
• Attention to detail and strict adherence to public procurement regulations.
• Ability to communicate effectively with customers and manage a small team.
