Sr. Accounts & Contract Finance Coordinator

About the role

We are seeking a Senior Accounts & Contract Finance Coordinator to manage internal finance administration and contract finance operations. Reporting to the Director of Operations, you will work closely with CPA, legal counsel, and executive leadership to ensure timely visibility of financial positions across contracts and vendors.

Key responsibilities

• Maintain and organize financial records, including bank statements, payment confirmations, insurance and bonding files, and registration documentation.
• Support tax filing preparation and coordinate with external CPA/bookkeeper; track registrations and compliance deadlines.
• Track and reconcile customer and vendor purchase orders, invoices, and payment status; manage CLIN/SLIN line‑item records and contract closeout files.
• Match vendor invoices to quotes and purchase orders, escalating pricing, freight, tax, or payment term discrepancies.
• Maintain AR/AP status, prepare regular reports on outstanding, pending, overdue, and at‑risk items, and follow up on unpaid items.
• Coordinate vendor payment processing and communication for credit arrangements.
• Collaborate cross‑functionally with operations, submissions, CPA/bookkeeper, banks, and agencies to resolve finance issues.

Required profile

• 2‑4 years progressive experience in accounts payable/receivable, finance administration, or contract administration.
• Experience with federal contracting finance, purchase order tracking, invoice reconciliation, and contract closeout.
• Strong attention to detail and documentation discipline.
