Senior Operations Assistant

About the role

The Senior Operations Assistant provides comprehensive administrative support to the Country Director and international staff of the Pakistan Resident Mission. Based in Islamabad, the role ensures smooth office operations, facilitates high‑level visits, and assists with project and portfolio administration in line with ADB standards.

Key responsibilities

• Prepare, type, and submit correspondence, reports, presentations, and briefing documents on time.
• Review documents for sensitive information before management approval.
• Manage incoming and outgoing communications, including translation and interpretation for meetings with government officials.
• Maintain electronic and paper filing systems and databases for easy retrieval.
• Coordinate supervisors' schedules, arrange appointments, meetings, travel, and accommodations using ADB procedures.
• Arrange missions and travel through the Concur System and handle logistics for workshops, seminars, and events.
• Serve as liaison with government authorities, development partners, and ADB headquarters to support operations.
• Provide reception services, screen calls, take messages, and direct queries to appropriate staff.
• Organise internal and external events, conferences, and workshops.
• Support country programming, portfolio review, and project processing for the assigned sector/unit.

Required profile

• Proven experience in high‑level administrative support within an international or development organization.
• Ability to handle confidential information with discretion.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication in English.
• Capacity to work effectively with senior management and external stakeholders.
