About the role

Navigator HR is seeking a proactive Executive Assistant to support its CEO in Lahore. The role involves managing the CEO’s calendar, communications, and documentation while ensuring seamless coordination across the organization.

Key responsibilities

  • Manage the CEO’s calendar end‑to‑end, schedule meetings, appointments, and travel with zero conflicts.
  • Serve as the first point of contact for the CEO’s office, screening calls, emails, and correspondence.
  • Prepare, proofread, and format professional documents, reports, proposals, and internal communications.
  • Create polished PowerPoint presentations for board meetings, client pitches, and internal briefings.
  • Attend key meetings, record accurate minutes, and distribute them promptly.
  • Track action items from meetings, follow up with department heads, and report status to the CEO.
  • Maintain a structured task‑management system, logging priorities and flagging deadlines.
  • Coordinate logistics for internal and external meetings, including venue booking and briefing packs.
  • Handle confidential information with discretion, covering HR, financial, and strategic data.
  • Arrange travel itineraries, including flights, hotels, visas, and detailed schedules.
  • Organise physical and digital filing systems for contracts, reports, and critical documents.
  • Support special projects and ad‑hoc research, summarising findings for the CEO.

Required profile

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 3–6 years of experience as an Executive or Personal Assistant, preferably supporting C‑suite executives.
  • Exceptional written and verbal communication skills in English and Urdu.
  • High level of discretion, integrity, and emotional intelligence.
  • Meticulous attention to detail and ability to meet tight deadlines.

  • Advanced proficiency in Microsoft Word.
  • Advanced proficiency in Microsoft Excel.
  • Advanced proficiency in Microsoft PowerPoint.
  • Advanced proficiency in Microsoft Outlook.
