Executive Assistant & Operations Partner

About the role

Pillar Health Solutions is looking for an Operations Lead to build, run and continuously improve the operational engine behind its growing healthcare business. This is a highly hands-on, remote, full-time role (40 hours per week) at $6 to $7 per hour, with the final rate set during the final interview. You will work closely with leadership and own the workflows that connect physician partners, practice staff, patients, dietitians, exercise professionals and internal support teams.

Key responsibilities

• Support leadership by organizing priorities, coordinating projects, managing follow-ups and turning decisions into clear action plans, while preparing meeting summaries, presentations and reports.
• Coordinate daily operations across physician practices, patients and providers, including practice onboarding, patient scheduling, provider coordination and documentation.
• Identify operational inefficiencies, fix recurring issues and create or improve SOPs, checklists, templates and standardised processes.
• Maintain spreadsheets, dashboards, trackers and performance reports, analyse operational data and give leadership actionable insights.
• Use AI tools, automation and digital platforms to streamline repetitive tasks and improve reporting.

Required profile

• 2+ years of experience in operations, program management and client success.
• Strong understanding of patient scheduling, provider coordination, documentation and healthcare administrative workflows.
• Ability to find root causes of operational problems and implement solutions independently.
• Excellent written and spoken English, with strong communication with physicians, practice staff, patients and senior leadership.
• Experience creating or improving SOPs, workflows, dashboards or operational systems.
• Preferred: experience with US medical practices, telehealth, nutrition, wellness, chronic care, exercise programs or virtual healthcare; familiarity with insurance, eligibility, reimbursement, billing and claims; experience with EHR/EMR, scheduling platforms, CRM or telehealth systems; experience with remote healthcare teams or early-stage companies.
