Office Assistant (Legal)

About the role

Pakistan Single Window (PSW) is recruiting on behalf of the National Agri-Trade and Food Safety Authority (NAFSA), which is being set up to strengthen Pakistan's agri-trade ecosystem through better regulation, facilitation and modernisation of food safety and trade processes. The selected candidate will join NAFSA's foundational team, helping build its systems, processes and institutional capabilities. The role provides clerical and administrative support to the Legal Directorate.

Key responsibilities

• Draft and type routine correspondence, format documents and help track dispatch and receipts under supervision
• Maintain physical and electronic filing systems for litigation case files, contracts, legal opinions, notices and correspondence, with proper indexing, version control and retrievability
• Update case registers, hearing calendars, cause-list trackers and contract/documentation logs as directed by the Legal Section Head
• Prepare hearing and meeting bundles by printing, scanning, photocopying, binding and organising pleadings, annexures, evidence documents and reference materials, and ensure timely dispatch to counsel, courts and stakeholders
• Manage incoming and outgoing mail, including recording, routing, follow-ups and delivery acknowledgements
• Support scheduling and logistics for meetings and hearings, including venue coordination, document circulation and basic minutes and action trackers
• Keep sensitive legal documents confidential and securely handled, with controlled access and proper custody of originals
• Perform other duties assigned by the Legal Section Head, Deputy Director or Director Legal

Required profile

• Intermediate (twelve years) or equivalent education; a bachelor's degree is preferred
• At least 2 years of relevant office support experience
• Discretion and good judgment
