Operations Lead - Remote

About the role

Pillar Health Solutions partners with medical practices to provide outsourced nutrition, dietary, exercise and wellness support to their patients, handling patient coordination, scheduling, documentation, reporting and billing workflows. It is looking for a full-time, remote Operations Lead to build, run and continuously improve the operational engine behind the company. This is a hands-on role in a growing healthcare business where processes are still evolving, paid at $6 to $7 per hour with the final rate set during the final interview.

Key responsibilities

• Own practice onboarding from agreement through launch, covering referral, scheduling, communication, documentation and billing workflows, and act as the main operational contact for physician partners and practice staff.
• Oversee the patient journey from referral through scheduling, first appointment and ongoing engagement, and improve conversion and retention by addressing cancellations, no-shows and drop-offs.
• Coordinate with dietitians, exercise professionals and support staff on availability, capacity and coverage, and monitor provider scheduling and documentation compliance.
• Monitor the flow of documentation and billing information, investigate delays to billing or revenue and coordinate resolutions.
• Map workflows, fix bottlenecks and build SOPs, trackers, dashboards, templates and checklists.
• Track operational KPIs across referrals, scheduling, patient engagement, provider utilization and partner performance, and report on trends, risks and priorities to leadership.
• Evaluate and implement tools, including AI and automation, to reduce administrative workload and improve reporting and workflows.
• Turn leadership priorities into operational plans and surface risks with proposed solutions.

Required profile

• 2+ years of experience in healthcare operations, medical practice operations, program management, client success or healthcare administration.
• Ability to own processes and outcomes, find root causes of problems and implement solutions independently.
• Strong organizational, analytical and problem-solving skills, excellent written and spoken English, and comfort working with physicians, practice staff, patients and senior leadership.
• Experience creating or improving SOPs, workflows, dashboards or operational systems; attention to detail with patient, billing and operational data.
• Ability to manage multiple priorities in a fast-moving, early-stage environment and to learn unfamiliar tools independently.
• Practical experience using AI, automation or technology to improve business processes.

Preferred experience

• Supporting US medical practices or healthcare organizations.
• Telehealth, nutrition, wellness, chronic care, preventive health, exercise programs or virtual healthcare.
• Familiarity with insurance, eligibility, reimbursement, billing, claims or revenue-cycle workflows.
• Experience with EHR/EMR, scheduling platforms, CRM, telehealth or patient communication tools, remote team coordination, and physician practice onboarding.
• Previous ownership of operational KPIs or performance reporting.
