Tender Specialist - Procurement and Documentation

About the role

AAIR Medicals is hiring a Tender Specialist (Procurement and Documentation) in Rawalpindi. The specialist prepares and submits tenders for government and private-sector projects, ensuring compliance with regulations such as E-PADS and PPRA, and owns the tender process from start to finish, including documentation, proposal coordination and communication with suppliers and vendors. The role also covers sourcing medical equipment, negotiating with manufacturers and suppliers, and supporting business development through social media and product listings.

Key responsibilities

• Prepare, review and submit tenders for government and private-sector projects in line with E-PADS, PPRA regulations and company policy.
• Develop quotations, proposals and official documentation for tender submissions.
• Research and identify medical equipment manufacturers and suppliers, and negotiate pricing and terms.
• Coordinate supplier communications and product research to ensure timely availability and quality.
• Operate e-procurement and e-tendering platforms to streamline bid submissions.
• Maintain social media channels and product listings, and assist with company registrations and authorization letters.
• Follow up on tender submissions to meet deadlines and organize, maintain and archive tender, procurement and contract documentation.
• Support business development and administrative tasks, and coordinate across departments to align tender responses with company capabilities.

Required profile

• Motivated, detail-oriented and able to work independently, managing multiple tasks efficiently.
• Strong command of MS Office and excellent documentation skills.
• Experience in tenders, procurement or the medical equipment sector is highly preferred.
• No team management required; strong coordination and communication skills needed.
